Access Hours

Humanities Faculty/Staff/Graduate Student: Monday - Sunday, 7:00 a.m. - Midnight
Yale College Student: Monday - Friday, 7:00 a.m. - 9:15 p.m.
Any other Yale Employee: Monday - Friday, 7:00 a.m. - Midnight

All access is granted by a Yale ID card.  

For 25Live Pro reservations outside of these hours, the HQ Lead Building Services Coordinator, Marsha Marcum, will arrange access schedules with Access Control.

General Policies for Room Use

The scheduling of all rooms in the Humanities Quadrangle (HQ) is managed by the University Registrar’s Office and reservations are made through 25Live Pro. Reservations submitted by departments and programs that are housed in HQ or are a part of the Humanities Division will be given priority. An individual who reserves any room is responsible for following the Building Use Guide for Yale University ClassroomsPlease submit 25Live Pro requests at least two business days in advance.  

Yale College students are not able to reserve study space in HQ but are welcome to use empty classrooms without a reservation on HQ’s concourse through third floors on a first-come, first-served basis.  

Yale College student organizations need to use Yale Connect to submit location requests.  HQ does not accept student organization reservations, except events with an academic purpose may request the Yale College Lounge (HQ 102) in Yale Connect.  

Classroom Use

All classrooms in HQ are managed by the University Registrar’s Office and reservations are made through 25Live Pro. Users of these spaces agree to adhere to the Building Use Guide for all classrooms.

AV support in classrooms is provided by ITS Classroom Technology and Event Services (CTES) at no charge when in direct support of courses, discussion sections, or other course-related activities. AV support for any other uses is available for a fee. CTES can be contacted at classroom.support@yale.edu or (203) 432-2650.

During finals, classrooms are not allowed to be reserved.  

In the summer, all classrooms are controlled by the Yale Conferences and Events office and can be contacted at summerclassrooms@yale.edu

Meeting Room Use

The scheduling of all meeting rooms in HQ is managed by the University Registrar’s Office and reservations are made through 25Live Pro.

AV support is available for a fee through ITS Classroom Technology and Event Services (CTES). CTES can be contacted at classroom.support@yale.edu or (203) 432-2650.

Lounge Use

The scheduling of the following Lounges in HQ is managed by the University Registrar’s Office and reservations are made through 25Live Pro. All other lounges in HQ may not be reserved.

Description
HQ 102 (Yale College Lounge) This lounge may be reserved on Yale Connect by any Yale College student organization for events with an academic purpose.  The capacity is 22 people. 
HQ 131 (Student Lounge) This lounge is only approved for special occasions. The capacity is 67 people. 

TF/PTAI Office Use

The scheduling of the TF/PTAI Offices in HQ is managed by the University Registrar’s Office and reservations are made through 25Live ProOffices have been designated in HQ for Teaching Fellows (TFs) and Part-time Acting Instructors (PTAIs) to hold office hours and other meetings. Offices may not be reserved for more than six hours at a time. Recurring reservations are permitted, up to one term at a time. Offices are available only to graduate students affiliated with departments and programs housed in HQ or are a part of the Humanities Division. 

Event Locations

The scheduling of event locations in HQ is managed by the University Registrar’s Office and reservations are made through 25Live Pro.

Marsha Marcum is the HQ Lead Building Services Coordinator and is available to advise with any event preparations. 

You are welcome to request to use the catering kitchen (HQ 135A) if you are providing food or drink for your event. Every reservation with food or drink must be accompanied by a Facilities Work Request for cleaning after the event.  Please add Marsha Marcum as an “alternate requestor” on the Facilities Work Request.

Description
HQ L01 (Alice Cinema) If having a film screening please follow these instructions, including securing the media and requesting a media technician or projectionist. Food and drinks are not allowed.  The capacity is 91. 
HQ L02 (Auditorium)

If having a film screening please follow these instructions, including securing the media and requesting a media technician or projectionist. Food and drinks are not allowed.  The capacity is 185. 

HQ L90 (Lower Level Lobby)

The lower level lobby is an open space just outside of HQ L01 and HQ L02 and can be used for receptions.  The capacity is 50. 

HQ Main Courtyard (Tent)

The HQ Courtyard Tent Guide has information about the tent and furniture that will be set up in the HQ Main Courtyard.  The tables and chairs will be setup in a very specific way for safety and the furniture may not be moved around or added to under any circumstance. There will be no lights or AV in the HQ Courtyard Tent and lights are not allowed to be added. The capacity of the main courtyard is 171 people and the capacity of the tent is 60 people.  

HQ Small Courtyard The capacity is 15 people.
HQ Loggia The loggia is the ornate hallway located inside the HQ main entrance and connects the main and small courtyards.  The capacity is 40 people. 
HQ 102 (Yale College Lounge) This lounge may be reserved on Yale Connect by any Yale College student organization for events with an academic purpose.  The capacity is 22 people. 
HQ 131 (Student Lounge) This lounge is only approved for special occasions. The capacity is 67 people. 
HQ 132 This classroom can be used for lectures. Food and drinks are not allowed. The capacity is 30 people.  
HQ 133 This classroom can be used for lectures. Food and drinks are not allowed. The capacity is 26 people.  
HQ 134 (Fellows Hall) This room is only approved for special occasions. The capacity is 56 people. 
HQ 135A (Catering Kitchen) The catering kitchen can be booked in conjunction with an event being hosted in a nearby HQ location. 
HQ 136 This classroom can be used for lectures. This room is not appropriate for a meal, but you are welcome to serve light refreshments, as food and drinks are allowed. Furniture is not allowed to be re-arranged.  The capacity is 69 people. 
HQ 276 This meeting room can be used for gatherings. If you are providing food or drinks for your event, please note there is a catering kitchen attached to the room (when you go in the room’s main entrance on the right). The capacity is 51 people.

This lounge can only be reserved by Yale College student organizations via Yale Connect. Only reservations that have an academic purpose will be approved. Social events are not permitted.

Monday-Thursday, 8:30am-12:00pm = University Registrar’s Office;

Facilities/Custodial

Facilities Work Requests are required for every reservation with food or drink for cleaning after the event, any special setups needed for classrooms or meeting spaces, or when Facilities deems it necessary. Work Requests should be submitted directly to Facilities by room users. Please add Marsha Marcum as an “alternate requestor” on the Facilities Work Request.
